We are looking for an Office Coordinator - Legal Department based in MILAN.
Main Responsibilities:
• Provide high-level organizational and administrative support to the General Counsel and the Legal team.
• Manage the General Counsel’s agenda, including scheduling meetings, calls and institutional commitments.
• Organize business travels, trips and related expense reports in compliance with company policies.
• Screen, prioritize and manage incoming correspondence and communications for the General Counsel.
• Prepare, print and organize presentations, reports and supporting documentation for meetings, Boards of Directors and Shareholders’ Meetings of Group companies.
• Manage and prioritize incoming and outgoing correspondence, including certified email (PEC).
• Coordinate contract signature processes, including digital signature workflows.
• Act as a liaison between the Legal function and other corporate departments (Finance, HR, Operations, etc.).
• Interface with external law firms and consultants, including instruction sharing, documentation management and activity tracking.
• Support legal budget management through invoice collection, verification and reconciliation.
• Assist the General Counsel in monitoring legal spend and preparing budget and expense reports.
• Handle administrative management of Legal function expenses and reimbursements.
Requirements:
• Previous experience in law firms, legal departments of structured companies or corporate environments is preferred.
• Excellent command of Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Familiarity with digital signature tools (e.g. DocuSign, Adobe Sign).
• Good command of the English language, both written and spoken.
• Strong organizational skills and high attention to detail.
• Proactive and autonomous working style with the ability to anticipate needs and manage priorities independently.
• High level of discretion and confidentiality in handling sensitive and confidential information.
• Strong interpersonal and communication skills, with the ability to effectively interact with internal and external stakeholders at different levels.
• Problem-solving mindset with the ability to identify issues and propose practical solutions.
• Flexibility and resilience in fast-paced environments with tight deadlines.
